Shopee shows 2 left. Lazada shows 5. Your shelf holds 3, and one of those is already packed for a buyer who paid an hour ago.
Inventory stock software makes those numbers agree. This guide shows what it tracks, how it syncs, and how to choose one for your store.
What Is Inventory Stock Software?
Inventory stock software records how many units of each product you hold and updates that count whenever an order, return, or delivery changes it. For a multi-channel seller, it keeps one shared count that every marketplace reads from.
Wikipedia describes inventory management software as software used to record, track, and manage inventory levels, orders, sales, deliveries, and related stock movements. Stock software is the same idea seen from the shelf. Its main job is to answer one question correctly: how many can I sell right now?
For a seller on Shopee, Lazada, and TikTok Shop, you connect each store once. The software pulls in orders, deducts stock, and pushes the new number back to every channel. You stop editing quantities by hand in three dashboards.
It helps to know what it is not:
- Not a marketplace dashboard. Seller Centre and its equivalents only see stock on their own platform. They do not talk to each other.
- Not a warehouse system. Stock software says how many you hold. A WMS also says which shelf and bin the units sit in, and who picks them.
- Not a spreadsheet. A sheet only knows what you last typed. Software updates itself when an order lands and keeps a log of every change.

What Stock Numbers Does the Software Track?
Good stock software keeps four numbers for every SKU: on hand, reserved, available to sell, and incoming. Marketplaces should only ever see the available number.
Most stock errors come from mixing these up. A unit that is packed but not yet collected by the courier is still on your shelf, but you cannot sell it again. Here is how one SKU looks inside the software. The numbers are made up to show the maths, not a benchmark.
| Stock number | What it means | Example for one SKU |
|---|---|---|
| On hand | Units physically on your shelf right now | 12 |
| Reserved | Units in orders that have not shipped yet, including cash on delivery (COD) orders | 3 |
| Available to sell | On hand minus reserved, minus any buffer you hold back. This is the number each marketplace shows | 9 (8 after a buffer of 1) |
| Incoming | Units on a supplier purchase order that have not arrived yet | 50 |
Every change to these numbers should leave a record: a sale, a return, a supplier delivery, a stock take, or a manual edit. That movement log lets you trace a wrong count back to its cause. If a tool lets staff edit quantities without leaving a trace, you cannot audit it.
Returns need care in Indonesia. A COD parcel that fails delivery comes back to you, and the unit should rejoin available stock only after you check its condition. Ask each vendor how it holds returned stock before you commit.

Barcodes speed up counting. Zoho Inventory lists barcode and RFID tracking on its product page, and Odoo’s inventory page lists serial numbers, lots, and cycle counting. A small seller can start without a scanner, but check that a tool supports one before your range grows.
How Does Stock Software Keep Shopee, Lazada and TikTok Shop in Line?
The software holds one master count and pushes the available number to each store. How fast it pushes, and how it behaves on campaign days, is where tools differ most.
Here is what happens when one order lands:
- The order arrives. The software reads it through the marketplace connection. You type nothing.
- Stock is reserved. The unit moves from available to reserved straight away, before it ships.
- Other stores update. The lower available number goes to every other channel, so nobody else can buy the same last unit.
- The order closes. When the parcel ships, the reserved unit becomes sold. If the order cancels or the parcel comes back, the unit is released.

Step 3 is the one to test. Ask every vendor how often stock is pushed to each marketplace, and get the answer in writing. Even a short delay leaves a window in which two stores sell the last unit. That window matters most on campaign days such as 9.9, 11.11, and 12.12, when orders arrive in bursts. For a fuller walk through one order, see our inventory mgmt software guide.
A stock buffer is the cheap fix. If you hold 10 units and set a buffer of 2, each store sees 8. Put buffers on your fastest SKUs first, then remove them once you have watched the tool cope with a real campaign day.
Confirm the tool connects to every store you run today, including TikTok Shop and Tokopedia if you sell there. Each marketplace also publishes its own rules on cancelled orders and seller performance. For Shopee, start at its Seller Education Hub.
How Do Low-Stock Alerts and Reorder Points Work?
A reorder point is the stock level at which you should place a new supplier order. The usual formula is average daily sales multiplied by supplier lead time in days, plus safety stock.
Say a SKU sells 6 units a day on average, your supplier takes 10 days to deliver, and you keep 12 units as safety stock. The reorder point is 6 x 10 + 12 = 72 units. When stock falls to 72, the software raises an alert. These figures are an example only, so use your own sales history.
The software only alerts on the numbers you give it. Work them out first with the reorder point calculator and the safety stock calculator, then enter them per SKU. A fast seller with a slow supplier needs a higher point than a slow seller whose supplier is a short ride away. Review the points after every campaign, because your sales rate will have moved.
Look for this feature whatever tool you shortlist. Zoho Inventory’s product page lists low stock alerts with reorder points, and Odoo’s lists min-max replenishment rules.
Which Type of Stock Software Fits Which Seller?
There are four routes: marketplace dashboards, Indonesian multi-channel tools, global inventory suites, and spreadsheets. Pick by how many channels you sell on and how much warehouse detail you need.
| Route | Examples | Suits | Watch out for |
|---|---|---|---|
| Marketplace dashboard | Shopee Seller Centre | One store on one marketplace | Sees stock on its own platform only |
| Indonesian multi-channel tool | Jubelio, Ginee, Sellercraft | Sellers on two or more marketplaces | Marketplace coverage in Indonesia, sync speed, and how the price grows with orders |
| Global inventory suite | Zoho Inventory, Odoo Inventory | Sellers who need warehouses, lots, serial numbers, or purchasing | Whether it connects to Shopee, Lazada and TikTok Shop in Indonesia or needs a separate connector |
| Spreadsheet | Google Sheets, Excel | A single store with a small range | Manual updates, no movement log, breaks down across channels |
Jubelio prices by volume. Its pricing page lists Rp150 per order processed, with terms and conditions applying, and lists unlimited SKUs, users, and locations. At that rate, 500 orders a month comes to Rp75,000 and 3,000 orders to Rp450,000, before any extras or tax. Per-order pricing suits sellers whose volume swings, but divide the fee by your profit per order before you commit.
Sellercraft says on its site that it connects channels including Shopee, Lazada, TikTok Shop, and WooCommerce. Vendor prices and marketplace support change, and the Jubelio figure above was read in September 2026, so confirm current details on each vendor’s own page. How Do You Set Up Stock Software Without Breaking Your Counts?
The software starts from the numbers you give it. Clean codes and a real count come first. Then connect stores one at a time and test each.
- Fix your SKU codes. Use one code per product, identical on every store. If Shopee says
CASE-BLK-14and Lazada saysBLK14CASE, the software sees two products with two counts. - Count the shelf. Do a full physical count before you connect anything. A wrong starting count stays wrong.
- Import and match listings. Bring in your products and resolve every mismatch the tool flags.
- Set buffers and reorder points. Start with your fastest SKUs.
- Connect one store at a time. Place a test order and watch the count drop on the other stores. Then cancel it and confirm the unit comes back.
- Recount on a schedule. Software tracks what was recorded. It cannot see theft, damage, or a parcel packed with the wrong item.

Frequently Asked Questions
Will inventory stock software stop overselling on 11.11 and 12.12?
It cuts the risk but cannot remove it. The software can only push the available number as fast as each marketplace allows. Set buffers on your fastest SKUs, ask the vendor for its sync interval in writing, and test on a smaller sale before a big one.
Do I need inventory stock software if I only sell on Shopee?
Not always. For a small range on one marketplace, Seller Centre may be enough. Software starts to pay off when you add a second marketplace, when counts drift from the shelf, or when you want reorder alerts and a movement log that the dashboard does not give you.
How much does inventory stock software cost in Indonesia?
It depends on the pricing model. Jubelio’s pricing page lists Rp150 per order processed, with terms applying. Other vendors publish plan tiers or quote by volume, and some offer free trials or entry tiers. Confirm current prices on each vendor’s own site, because they change.
Should I choose an Indonesian tool or a global one like Zoho Inventory or Odoo?
Start with marketplace coverage. If you sell on Shopee, Lazada and TikTok Shop, check that the tool connects to all three in Indonesia. Global suites list stronger warehouse features such as lots, serial numbers and purchasing, but confirm whether they need a separate connector for your marketplaces.
How often should I recount stock if the software tracks it?
Software tracks recorded movements, not theft, damage or packing errors. Recount your fastest sellers most often and the full range on a regular cycle, such as every quarter. When a count and the screen disagree, use the movement log to find where the gap started.
