Inventory Mgmt Software: What It Does and What It Costs in Indonesia

Inventory mgmt software keeps one stock count across Shopee, Lazada and TikTok Shop. See how it works, what it costs in Rupiah, and what to check first.

Your Shopee stock says 4. Lazada says 9. The shelf holds 6.

Inventory mgmt software makes those three numbers agree, automatically, every time an order lands. This guide shows what it does with each order, what to check before you pay, and what it costs in Rupiah.

What Is Inventory Mgmt Software?

Inventory mgmt software records and manages your stock, orders, and stock movements in one place. For an Indonesian seller, it means one stock count that every marketplace you sell on reads from.

Wikipedia describes it as software used to record, track, and manage inventory levels, orders, sales, deliveries, and related stock movements. For a seller on Shopee, Lazada, and TikTok Shop, the working version is narrower. You connect each store once. The software pulls in orders, deducts stock, and pushes the new count back to every channel.

It helps to know what it is not:

  • Not a marketplace dashboard. Shopee Seller Centre and the other seller dashboards only see stock on their own platform. They do not talk to each other.
  • Not a WMS. Inventory software answers “how many do I have?” A WMS answers “where is it shelved, and who picks it?”
  • Not always accounting. Some tools bundle it. Jubelio’s pricing page lists accounting and a WMS in its feature list. Other tools leave accounting out, so check the feature list.

How Inventory Mgmt Software Handles One Order

Every order runs the same loop: pull the order, reserve the stock, update every other channel, then sell or release the stock when the parcel ships, cancels, or comes back.

Here is the loop for a single Shopee order:

  1. Order pulled in. The software reads the new order from Shopee through its marketplace connection. You do not type anything.
  2. Stock reserved. The unit moves from “available” to “reserved” straight away, even though it has not shipped.
  3. Other channels updated. The lower available count goes to Lazada and TikTok Shop, so nobody else can buy the unit you just sold.
  4. Parcel ships. Once the order is packed and handed to the courier, the reserved unit becomes a sold unit.
  5. Cancel or return. If the order cancels or the parcel comes back, the unit returns to available stock, but only after you confirm it is fit to resell.

Step 3 is where the value sits. It is also where tools differ. Ask every vendor how often stock counts are pushed to each marketplace, and get the answer in writing. Even a few minutes of delay leaves a window where two channels sell the same last unit. That window matters most on campaign days such as 9.9, 11.11, and 12.12.

Cash on delivery (COD) adds a wrinkle. A COD order reserves stock, but payment is not confirmed until the courier delivers. Good software holds that stock as reserved and treats it as sold only on delivery. Software that cannot tell a COD hold from a confirmed sale shows the wrong available count, especially when COD parcels fail delivery and come back.

Four Features That Decide Whether It Works

Four features decide whether inventory mgmt software actually prevents overselling: one clean SKU master, per-channel stock buffers, reorder alerts, and a movement history you can audit.

One SKU Master

Every product needs one SKU code that matches across all your stores. If your Shopee SKU is SHOE-BLK-42 and your Lazada listing uses BLK42SHOE, the software cannot match them. It treats them as two products with two stock counts. Clean up your codes before you connect anything.

Then check how the tool handles variations and bundles. A two-pack should draw down the same unit stock as the single item, not sit in a separate pool.

Per-Channel Stock Buffers

A buffer means publishing a slightly lower number than you actually hold. For example, if you hold 10 units and set a buffer of 2, each marketplace sees 8. The two spare units absorb sync delays and sudden bursts of orders.

Set buffers on your fastest SKUs first, and remove them once sync speed proves itself on a real campaign day. Some tools also let you split stock by channel, so a SKU that sells mostly on Shopee is not starved by an even split.

Reorder Alerts

An alert fires when a SKU drops to its reorder point. The standard formula is average daily sales multiplied by supplier lead time in days, plus safety stock. Work out your numbers with the reorder point calculator and the safety stock calculator before you type anything into software. The tool only alerts on the thresholds you give it.

Movement History

Every stock change should carry a timestamp and a reason: order, return, manual edit, or stock take. When a physical count disagrees with the screen, that log shows where the gap appeared. If a tool lets staff edit counts without leaving a trace, you cannot audit it.

What Inventory Mgmt Software Costs in Indonesia

Vendors price in three ways: per order, by monthly plan tier, or by custom quote. Jubelio’s public price is IDR 150 per order processed. Other vendors publish tiers, and enterprise platforms typically quote per business.

Pricing modelHow you paySuitsExample
Per orderA fixed fee for each order the software processesSellers whose volume swings month to monthJubelio: IDR 150 per order, per its pricing page
Monthly plan tierA flat fee by plan level, with limits on orders or storesSellers with steady volumeSellercraft lists Basic and Advance plans on its site
Custom quoteNegotiated by volume, warehouses, and modulesLarge operations with several warehousesEnterprise platforms

At Jubelio’s published rate, 1,000 orders a month works out to IDR 150,000, and 10,000 orders to IDR 1,500,000, before any add-ons or tax. Its pricing page also says the plan has no limit on SKUs, users, or locations, and that terms and conditions apply. Read them before you sign.

Per-order pricing is cheap when you are small and grows with you. It can sting on low-margin, high-volume items, so divide the fee by your average profit per order before you commit.

Compare the fee with the cost of an oversold order: a cancelled sale, an unhappy buyer, and a mark against your seller performance. Each marketplace publishes its own rules and thresholds. For Shopee, start at the Seller Education Hub.

Prices change. The Jubelio figure above was read from its pricing page in September 2026. Some vendors also offer free entry tiers or free trials, so confirm current limits on each vendor’s own page.

What to Check Before You Pay

Test the tool on your own store before you pay. Connect real accounts, push real orders through it, and confirm the counts match your shelf.

  1. Native connections. Confirm it connects directly to every marketplace you use today, including TikTok Shop if you sell there.
  2. Sync interval in writing. Ask how often stock is pushed to each channel and what happens during a sale.
  3. COD handling. Ask whether COD orders are held as reserved until delivery.
  4. Import and mapping. Check that it can import your existing listings and flag mismatched SKUs.
  5. Data export. Confirm you can export your stock and order history if you leave.
  6. Live trial. Run real orders through it across at least one busy stretch before you move to a paid plan.

Frequently Asked Questions

What does inventory mgmt software do that Shopee Seller Centre does not?

Seller Centre tracks stock on Shopee only. Inventory mgmt software keeps one count across every channel you connect, so a sale on one marketplace lowers the available stock on the others. Better tools add reorder alerts and a movement log on top, so you can see why a count changed.

How much does inventory mgmt software cost in Indonesia?

It depends on the pricing model. Jubelio’s pricing page lists IDR 150 per order processed, with terms applying. Other vendors publish tiered monthly plans, and enterprise platforms typically price by quote. Confirm current rates on each vendor’s own site before you decide, because published prices change.

How does inventory mgmt software handle COD orders and returns?

A COD order reserves stock straight away, but it only counts as a confirmed sale after delivery. If the parcel fails delivery and comes back, the unit returns to available stock, ideally after you check its condition. Ask each vendor how it labels COD holds and returned stock before you commit.

Is inventory mgmt software the same as an ERP or accounting system?

No. Inventory mgmt software focuses on stock counts and channel sync. ERP and accounting systems cover finance, purchasing, and reporting in more depth. Some Indonesian tools bundle accounting, and Jubelio’s pricing page lists it. Others leave it out, so check the feature list against what your bookkeeper needs.

What should I test during a free trial?

Connect your real marketplace accounts. Place a test order on one channel and watch the count change on the others. Then cancel one order and confirm the unit comes back. Run the trial across at least one busy sales stretch so you see how sync speed holds up under load.
