Your last unit sells on Shopee MY. Lazada MY still shows it in stock. Another buyer checks out before you notice, and one order has to be cancelled.
An inventory mgmt system shrinks that gap. Here is what it is, how it works, and when a Malaysian seller needs one.

What Is an Inventory Mgmt System?
An inventory mgmt system is the software, product records, and daily routines that tell you how many units of each product you hold, where they are, and how many you can still sell. For a Malaysian seller, it keeps one shared stock count across Shopee MY, Lazada MY, and TikTok Shop MY.
An inventory mgmt system (IMS) is how a business knows what it owns. Every delivery, sale, return, and write-off changes a stock number. The system records each change in one place, so you stop comparing a notebook, a spreadsheet, and three marketplace dashboards that disagree.
You will also see it called an inventory management system or a stock management system. In Bahasa Malaysia it is sistem pengurusan inventori. Same idea, different label.
A working system has three parts:
- Software. The tool that holds the stock count and talks to your sales channels.
- Product records. One master list of products, each with a unique SKU (stock keeping unit) code. A SKU marks one exact variant, so a black T-shirt in size M and the same shirt in size L are two SKUs.
- Routines. The habits that keep the record true: receiving deliveries the day they arrive, logging returns, and counting stock on a schedule.
Software alone is not a system. A tool fed with messy SKUs and no counting routine gives you fast, confident, wrong numbers.
People often mix up four tools:
| Tool | What it does | Fits when |
|---|---|---|
| Spreadsheet | Stores stock numbers you type in by hand | One channel, a short product list, few orders |
| Marketplace seller dashboard | Tracks stock per listing, inside that one platform | You sell on one marketplace only |
| Inventory mgmt system | Tracks stock centrally and syncs counts across channels | Two or more channels, or stock you cannot afford to oversell |
| Warehouse management system (WMS) | Runs the physical warehouse: bin locations, pick routes, staff tasks | You run a warehouse with staff and a set pick process |
A WMS goes further than an IMS. Our warehouse management system guide covers that step. An order management system handles order routing and fulfilment, and often sits beside the inventory system. If a spreadsheet is your system today, our guide to inventory management in Excel shows how to run one properly.
How Does an Inventory Mgmt System Work?
The system connects to each marketplace, receives every new order, deducts the units from one shared stock pool, and pushes the new available count to every other listing. It updates on every stock movement, not only when someone counts the shelf.
Here is the flow, step by step:
- Connect your stores. Shopee and Lazada both run official developer platforms, Shopee Open Platform and Lazada Open Platform. Approved apps use them to read your orders and update your stock.
- Map your SKUs. Each marketplace listing links to one master SKU in the system. Wrong mapping is a common reason counts stop matching.
- An order arrives. The system reserves the units and lowers the available count.
- Every channel updates. Each connected listing shows the same available number.
- The parcel ships, or comes back. On-hand stock falls when the parcel ships. If it returns through Ninja Van MY or Pos Laju, the units go back into stock once you receive them in the system, and not before.
Step 5 is where counts drift. A returned parcel sitting in your storeroom but not received in the system shows as zero stock and sells nothing. Receive returns the day they arrive.

Because the count updates on every movement, the record stays live between stock counts. That method has a name: the perpetual inventory system. Our inventory perpetual system guide explains how it works and how to keep it accurate.
Sync is not instant. Every vendor has a sync interval, and orders placed inside that window can still oversell. Ask for the published interval instead of trusting the word “real-time”. Before 11.11, 12.12, or a Hari Raya sale, also ask how the tool handles marketplace rate limits, and consider holding a small buffer on your fastest-moving SKUs for the peak days.
What Should an Inventory Mgmt System Do for You?
A good system does four jobs: record every stock movement, sync counts across channels, tell you when to reorder, and show which products earn their shelf space. If a tool skips one, you fill the gap with a spreadsheet.
| Job | What it does | Ask the vendor |
|---|---|---|
| Record | Logs every sale, return, delivery, and adjustment with a date | Can I see the full history of changes to one SKU? |
| Sync | Sends the available count to every connected channel | What is the sync interval, and does my plan include all my channels? |
| Reorder | Alerts you when a SKU falls to its reorder point | Can I set a reorder point per SKU, using my own sales history? |
| Report | Shows sales speed, slow movers, and stock value | Can I export the data to a spreadsheet? |
The reorder job is easy to skip, and skipping it means you find out you are out of stock when the last order fails. The formula is short:
Reorder point = (average daily sales × supplier lead time in days) + safety stock
For illustration: a SKU sells about 5 units a day, your supplier takes 12 days to deliver, and you hold a 15-unit buffer. The reorder point is (5 × 12) + 15 = 75 units. When available stock falls to 75, the system alerts you to order. Our reorder point calculator and safety stock calculator apply the standard reorder point logic to your own sales and lead-time data.
The report job matters for cash. Stock that has not sold for a long time ties up money you could spend on products that do move. A system that shows sales speed by SKU makes those products visible. Our inventory turnover guide shows how to measure it.

Do You Need an Inventory Mgmt System, or Is a Spreadsheet Enough?
A spreadsheet is enough while you sell on one channel, keep a short product list, and ship few orders. Once you sell on two marketplaces or cancel orders for stock you did not have, you have outgrown it.
You have likely outgrown the spreadsheet if:
- You cancel orders because a listing showed stock you no longer had.
- You sell on two or more marketplaces, such as Shopee MY and Lazada MY.
- You recount the whole storeroom before every big sale day.
- You cannot say which products have not sold for months without an hour of work.
- More than one person updates stock.
Cancellations carry a cost. Both marketplaces score sellers on cancellations and late shipping, so overselling is more than an awkward message to a buyer. Check the current rules in your Shopee MY and Lazada MY seller centres.
If none of the five fits, keep the spreadsheet and keep it tidy. Software bought early adds a bill and setup work before it saves you anything.
How Do You Choose and Set Up an Inventory Mgmt System?
Choose on channels, currency, and exit terms before features. Then set up in order: count stock, clean SKUs, load opening quantities, and connect one marketplace at a time, checking counts against the shelf before you add the next.
Run this check on any tool:
- Channels. Does the plan support every marketplace you sell on today, including TikTok Shop MY, and the one you plan to add next?
- Money. Is pricing shown in MYR (RM), and is there a free tier or trial you can test with a few SKUs?
- Support. Does help arrive in Malaysian working hours, in English or Bahasa Malaysia?
- Exit. Can you export all stock and movement data if you leave?
- Edge cases. How does it treat returns, cancellations, and bundle SKUs?
Ginee, Sellercraft, and Anchanto are the three tools Malaysian sellers most often compare, based on vendor documentation and seller community feedback. Ginee is a common first step off spreadsheets, Sellercraft adds stronger supplier and purchase order workflows, and Anchanto suits multi-warehouse operations. Our Malaysia inventory management software comparison sets them side by side, and our inventory stock software guide explains what the software tracks day to day.

Once you pick one, set it up in this order:
- Count every SKU on the shelf. Note damaged units separately. This is your opening balance.
- Give each variant one SKU code. The free SKU generator gives you a consistent format.
- Load the opening quantities before connecting any store. Otherwise the first sync pushes wrong numbers to your listings.
- Connect one marketplace and run it for a week. Fix every mismatch against the shelf, then add the next channel.
- Test each new channel with one order. Confirm the count drops on every listing.
- Set reorder points and schedule counts. Start with your best sellers, count a small slice of SKUs each week, and log every correction with a reason.

Frequently Asked Questions
What is an inventory mgmt system?
An inventory mgmt system is the software, product records, and routines that track every stock movement and show how many units you can still sell. For Malaysian sellers it connects to Shopee MY, Lazada MY, and TikTok Shop MY, so a sale on one channel lowers the stock the others are allowed to sell.
Is an inventory mgmt system the same as a warehouse management system?
No. An inventory mgmt system tracks how much stock you hold and syncs counts across sales channels. A warehouse management system (WMS) runs the physical work inside a warehouse: bin locations, pick routes, receiving, and staff tasks. Many sellers start with an inventory system and add WMS features only when they run a real warehouse.
Do I need an inventory mgmt system if I only sell on Shopee MY?
Not always. One channel, a short product list, and low order volume can run on Shopee’s own stock fields and a tidy spreadsheet. A system pays for itself once you add a second marketplace or cancel orders for stock you did not have.
How much does an inventory mgmt system cost in Malaysia?
Pricing varies by vendor and plan. Some publish monthly MYR plans, some offer a free tier or trial, and enterprise tools quote per operation. Price follows order volume, channel count, and features such as purchase orders. Confirm current MYR pricing with each vendor.
Can an inventory mgmt system stop overselling completely?
No, it shrinks the window. Orders placed inside the vendor’s sync interval can still oversell, so keep a small buffer on fast-moving SKUs during campaigns such as 11.11 and 12.12.
