What Is Inventory Mgmt Software? How It Works for Malaysian Sellers

Inventory mgmt software tracks stock and syncs Shopee MY, Lazada MY and TikTok Shop MY. See how it works, what to set up first, and where it stops.

Your Lazada MY listing shows 4 units. So does Shopee MY. Two buyers each order 3 within the same minute. One order has to be cancelled, and cancellations can count against your seller metrics. Inventory mgmt software stops this by keeping one live stock count behind every channel.

What Is Inventory Mgmt Software?

Inventory mgmt software is a program that holds one master stock count for your whole business and updates it every time stock moves. Connected to Shopee MY, Lazada MY, or TikTok Shop MY, it lowers the count when an order lands and pushes the new quantity back to every listing.

You will also see it called inventory management software, stock management software, or an IMS. A spreadsheet does the same job on paper, one edit at a time. The software does it for every order, automatically.

It does four jobs:

  1. Track. Every supplier delivery, sale, return, and correction is logged against a product SKU.
  2. Sync. The master count is pushed to each connected store, so listings never disagree.
  3. Alert. When a SKU falls below the level you set, you get a warning before it hits zero.
  4. Report. You see what sells, what sits, and what your stock is worth in RM.

In practice, your morning changes. Instead of opening Shopee Seller Centre, Lazada Seller Center, and a spreadsheet to reconcile three different counts, you open one screen and read one number per SKU.

It is not accounting software, and it does not replace the marketplace seller portals. It sits between your suppliers and your storefronts.

If you sell one product line on one marketplace, that marketplace’s own stock field may be enough for now. The case for software usually starts at two channels, or when one product comes in many sizes and colours.

Some tools add barcode scanning for receiving stock and packing orders. That is faster than typing SKUs and removes a common source of typos.

How Does Inventory Mgmt Software Keep Stock in Sync Across Marketplaces?

The software connects to each store through the marketplace’s official API, reads new orders, subtracts the sold units from the master count, and writes the new available quantity back to every other listing. How fast that happens depends on the tool and on each platform’s API limits.

Each platform publishes a developer portal for this. Shopee Open Platform offers APIs for items and orders. Lazada Open Platform lists endpoints for products, orders, fulfilment, returns, and warehouses. TikTok Shop runs a Partner Center for developers and service partners. Inventory tools are built on these.

When you connect a store, you log in and approve access. The tool then starts reading orders. Your own website works the same way if the tool has a connector for your store platform. Check the connector list before you commit, because coverage differs by tool.

Lazada MY and TikTok Shop MY updatedYou edit each listing yourselfNew quantity is pushed to each listing

The gap between rows one and three is where overselling lives. By hand, that gap can last minutes or hours. In software, it depends on how often the tool polls or receives updates.

Ask each vendor for its sync interval, and what happens when a platform limits requests. Then ask again before 9.9, 11.11, 12.12, and Hari Raya. Order volume can jump on those days, and a slow sync shows up as cancelled orders.

A small channel buffer covers what is left. Hold back a unit or two on fast sellers, so a late sync does not turn into a cancellation.

What Is SKU Mapping, and Why Does Setup Go Wrong There?

SKU mapping links every marketplace listing to one master SKU in your software. Without it, the tool cannot tell that a black, size M shirt on Shopee MY and the same shirt on Lazada MY are one product sharing one stock count.

Each platform gives a product its own item and variation IDs. Your software needs one master SKU, then a link from each listing to it.

Some tools auto-match on the seller SKU text. That works only if your SKUs already match across stores. If one store says TSHIRT-BLK-M and another says black tee M, you map by hand.

A clear code on every product makes the later steps easy. It also makes every parcel easier to trace back to a listing.

Clean up before you connect anything:

  1. Copy your product list from each store into one sheet.
  2. Pick one SKU format, for example category, product, colour, size. The SKU generator can build the codes.
  3. Rename the seller SKU on every listing to match.
  4. Connect the store and let the tool auto-match. Fix the leftovers by hand.
  5. Test with your best sellers. Adjust one unit and confirm the count moves on every channel.

Bundles need extra care. If a 2-pack is made of two singles you also sell alone, the software should deduct the components, not the pack. Check that your tool supports bundle or combo SKUs before you rely on it.

How Does Inventory Mgmt Software Handle Returns and Stock Corrections?

Good software separates stock you can sell from stock that is reserved, damaged, or on its way back. A returned item should not become sellable again until someone checks it, and every manual correction should carry a reason.

Most tools show a few counts per SKU. On hand is what sits in your space. Reserved is stock in paid orders that have not shipped. Available is on hand minus reserved, minus any buffer, and that is the number pushed to your stores.

The inventory stock software guide covers these counts in more detail.

Returns are where counts drift. A parcel comes back through the courier, for example Ninja Van MY or Pos Laju. Put it in a returns location first. Inspect it, then release it to available stock or write it off as damaged.

If every return goes straight back to available, damaged units get sold again.

Cancellations work the same way in reverse. When a buyer cancels before you ship, the reserved units should return to available on their own. Test this once, because a cancellation that never restores stock slowly hides units you still own.

Stock also drifts for dull reasons: breakage, a miscount, a sample given away. Log each fix as an adjustment with a reason. Over time the log shows patterns, such as one SKU that loses units every month.

Count a few SKUs each week instead of closing for one big stocktake. This is cycle counting. The perpetual inventory guide explains how continuous counting works.

What Do Inventory Reports Actually Tell You?

Four reports matter most: low-stock alerts, slow-moving stock, sell-through, and stock value. Each answers one buying decision: what to reorder, what to discount, what to stop buying, and how much cash sits on your shelves.

  1. Low-stock alerts. These fire at your reorder point, the level where you should order again. The reorder point calculator and safety stock calculator help you set it from daily sales and supplier lead time.
  2. Slow-moving stock. Items with no sales in a period you choose. These are candidates for a voucher or a bundle.
  3. Sell-through. Units sold divided by units received in a period. Example: you receive 200 units and sell 150, so sell-through is 75%. A low figure on a new SKU is your cue to stop reordering.
  4. Stock value. Units on hand times unit cost, shown in RM. It tells you how much cash you have tied up before 11.11 or Hari Raya.

Sell-through has a close cousin in inventory turnover. See inventory turnover ratios and the turnover calculator.

Reports are only as good as your data. If SKUs are unmapped or returns go unlogged, the reports will look precise and be wrong.

Where Does Inventory Software End and an OMS or WMS Begin?

Inventory software owns the stock count. An order management system (OMS) owns each order from checkout to delivery. A warehouse management system (WMS) owns the floor: locations, picking routes, and packing. Many multi-channel tools bundle the first two.

Most small marketplace sellers need the first column only. Move right when the pain moves right. Order errors point to an OMS. Slow, error-prone picking points to a WMS.

If you are still on a spreadsheet, start with the SKU clean-up above. It costs nothing and helps whichever tool you pick. Then compare tools in the Malaysia inventory management software guide, which sorts Ginee, Sellercraft, and Anchanto by SKU count and warehouse complexity.

Frequently Asked Questions

What is inventory mgmt software?

Inventory mgmt software is a system that keeps one master stock count for your business and updates it whenever stock moves. Connected to Shopee MY, Lazada MY, or TikTok Shop MY, it deducts each sale and pushes the new quantity to every listing, so no channel sells stock you no longer have.

Do I need inventory mgmt software if I only sell on Shopee MY?

Not always. If you sell a small range on one marketplace, Shopee’s own stock field may be enough. Software starts to pay off when you add a second channel such as Lazada MY or TikTok Shop MY, carry many size and colour variations, or sell bundles that share components.

How much does inventory mgmt software cost in Malaysia?

Vendors usually bill monthly in RM and tier plans by order volume, connected stores, or users, and some offer a free or trial tier. Prices change often, so get a current RM quote from each vendor. Weigh the monthly fee against what cancelled orders and manual stock edits cost you today.

Is inventory mgmt software the same as a WMS?

No. Inventory mgmt software keeps stock counts accurate and in sync across channels. A warehouse management system (WMS) also controls the floor: bin locations, picking routes, and packing steps. Most small marketplace sellers need the first. A WMS makes sense once you run a dedicated warehouse with several staff.

Will inventory mgmt software stop overselling completely?

It reduces overselling but cannot remove every case. A short delay remains between an order and the sync to your other stores, and busy campaign days stretch it. Set a small buffer on fast-moving SKUs, and ask your vendor how often its sync runs and what happens when a platform limits requests.
